How to Choose an Industrial Chemical Supplier: A Purchase Manager's Checklist

Every purchase manager has lived this story: the cheapest quote wins, the first lot is fine, the third lot is off-grade, production stops, and the 'savings' evaporate in a single shift of downtime. Chemical supply is a reliability business. Here is a practical checklist for evaluating vendors.

1. Traceability beats claims

Ask for the manufacturer's Certificate of Analysis for the actual batch, not a generic spec sheet. A trader who cannot tell you which manufacturer a lot came from cannot guarantee the next lot matches.

2. Documentation discipline

GST invoices with correct HSN codes, MSDS supplied without being asked, e-way bills done right. Sloppy paperwork predicts sloppy material handling — and creates audit risk on your side.

3. Stock depth and logistics

Does the vendor hold buffer stock of your critical items, or order against your order? Can they document hazmat-compliant transport? Dispatch within 24–48 hours for stock items is a reasonable bar.

4. Technical understanding

A supplier who understands the chemistry can flag a substitution risk before it reaches your bath. Ask a technical question during evaluation — the quality of the answer tells you everything.
